Louise Wright Theatre School 

1. Introduction

Welcome to Louise Wright Theatre School (LWTS).

LWTS is committed to providing a safe, inclusive, supportive, and inspiring environment in which students can develop confidence, creativity, and performance skills through dance, singing, acting, and musical theatre.

We welcome students regardless of age, gender, ethnicity, disability, educational attainment, or economic background. By registering with LWTS and allowing a student to attend classes, parents/guardians confirm that they have read, understood, and agree to these Terms & Conditions and our Privacy & GDPR Policy.

2. Fees & Payment

  • Fees are invoiced half-termly via our online administration system, Class Manager.

  • Invoices must be paid no later than 7 days before the start of the new half term.

  • Students joining part way through a half term will be charged only for the remaining classes.

  • Payment may be made by BACS or cash in a clearly named envelope.

Current Fees

  • Group classes: £8 per class

  • Private tuition: £22 per student

  • Additional exam/rehearsal classes: £8 per class

  • New student registration fee: £10 (non-refundable)

  • Sibling discount: 10% / 5 Class Discount: 10%

A £10 late payment fee will be added to all invoices not paid by the stated due date.

Students may be unable to attend classes until outstanding fees have been paid in full.

3. Refunds & Non-Attendance

Fees are non-refundable for absences due to:

  • Illness

  • Holidays

  • Family events/commitments

  • School trips

  • Examinations

  • Commitments with other dance/theatre schools

  • Or other activities outside of LWTS

 
 

Where LWTS is unable to provide a scheduled class, a refund, credit, or alternative arrangement will be offered at the school’s discretion. Private lessons cannot usually be rearranged due to a student’s illness or other commitments.

4. Notice Period

A minimum of 4 weeks’ written notice is required to withdraw from any class or from LWTS.

  • Notice must be sent by email to info@lwtheatreschool.co.uk

  • Notice periods do not include school holiday periods

  • Fees remain payable during the notice period whether or not the student attends classes

For students participating in a show or production, a full term’s notice may be required once rehearsals have commenced.

5. Online Classes & Exceptional Circumstances

If classes need to move online due to circumstances beyond our control (for example severe weather, venue closure, public health restrictions, or other emergencies), fees will remain payable and no refund will be given for the move to online delivery.

LWTS is not liable for failure or delay in performing its obligations where this is caused by events beyond its reasonable control.

6. Teacher Responsibilities

All teachers:

  • Hold relevant qualifications and professional experience

  • Have an Enhanced DBS check

  • Are trained in safeguarding and child protection

  • Hold Paediatric First Aid certification

  • Have valid Public Liability Insurance

  • And work in accordance with LWTS policies and risk assessments

Teachers will:

  • Provide professional, supportive, and encouraging tuition

  • Maintain a safe learning environment

  • Communicate appropriately with parents

  • And prioritise the welfare of all students at all times

Physical Contact

Occasionally, a teacher may need to use physical guidance to correct technique or support safe movement. This will always be carried out professionally and appropriately.

7. Student Expectations

Students are expected to:

  • Behave respectfully towards teachers, students, parents, and venue staff

  • Arrive on time

  • Wear the correct uniform and footwear

  • Bring a named water bottle

  • Keep long hair securely tied back

  • Follow all instructions

  • And support fellow students in a positive and inclusive manner.

Students arriving more than 10 minutes late to a dance class may not be permitted to participate if they have missed the warm-up and it is considered unsafe to join the class.

Respectful Communication & Online Behaviour

Students must always be supportive towards their fellow students

Students are expected to treat one another with kindness, respect, and consideration both during LWTS activities and in any communication connected to the school, including text messages, group chats, social media, and other online platforms.

Any behaviour that causes another student to feel upset, excluded, intimidated, bullied, or unsafe may be addressed by LWTS where it affects the wellbeing of students or the wider school environment.

Parents should be aware of their child’s online activity and support positive and respectful communication. Where concerns are raised, LWTS may discuss the matter with the students and parents involved and, where appropriate, apply disciplinary measures in line with our Anti-Bullying and Safeguarding Policies.

8. Parent/Guardian Responsibilities

Parents/guardians are responsible for:

  • Ensuring excellent attendance

  • Informing LWTS of any absence, illness, or injury

  • Keeping Class Manager details up to date

  • Responding promptly to communications

  • Paying fees on time

  • And ensuring students arrive and are collected safely

Students must be collected promptly at the end of class. Teachers are not responsible for students before or after their scheduled class time.

If someone different is collecting a child, parents must notify LWTS in advance.

9. Safeguarding & Supervision

The safety and wellbeing of our students is our highest priority.

All staff follow the LWTS Safeguarding and Child Protection Policy. A designated safeguarding lead is appointed and details are available in the Parent Handbook.

Student helpers may assist teachers under direct adult supervision but are never responsible for supervising children or left in sole charge of students.

10. Medical Information

Parents must provide accurate medical and emergency contact information and notify LWTS of any changes.

In the event of an emergency, LWTS may seek appropriate medical treatment for a student and will contact the parent/guardian or emergency contact as soon as reasonably practicable.

11. Photography & Video

Parents are asked to indicate their consent for photography and video recording through Class Manager.

Any images or videos taken by LWTS may be used for:

  • School displays

  • Newsletters

  • Social media

  • Promotional materials

  • LWTS website

Parents should seek permission before posting images or videos of other students on social media.

12. Uniform

Students must attend classes in the correct LWTS uniform and appropriate footwear.

Jewellery should not be worn during classes unless required for medical or religious reasons.

13. Exams

LWTS enters students for examinations only when teachers believe they are working at the required standard and feel confident and prepared.

Exam fees and any additional exam classes must be paid by the stated deadline. Fees vary depending on the examination board and grade.

14. Shows, Performances & Rehearsals

Performance opportunities are a key part of life at LWTS and may include:

  • Musical theatre productions

  • Local events

  • Festivals

  • Competitions

  • Showcases

  • And national or international performances

A separate performance fee may be charged to cover theatre hire, costumes, rehearsal costs, administration, and licensing where applicable.

Excellent attendance is expected for students involved in performances. Repeated absence from rehearsals may result in a role being reduced or withdrawn if it affects the quality or safety of the production.

Parents will be asked to complete a performance commitment form, including availability, measurements, and consent.

15. Watching Week

Parents may be invited to observe classes during designated Watching Weeks.

  • Filming and photography are not permitted unless authorised by the teacher.

  • Parents are asked to observe quietly and avoid assisting their child during the class unless invited to do so.

  • LWTS reserves the right to amend or cancel Watching Week if necessary.

16. Belongings

All belongings should be clearly named.

LWTS accepts no responsibility for items that are lost, stolen, or damaged on the premises, in changing areas, or during performances and events.

17. Timetable & Venue Changes

LWTS reserves the right to:

  • Change class times

  • Change teachers

  • Amend the timetable

  • Or change the venue where necessary

Parents will be given as much notice as possible of any significant changes.

18. Data Protection

Personal information is processed in accordance with the LWTS Privacy & GDPR Policy.

By registering with LWTS, parents consent to the school holding and using personal data for administration, safeguarding, communication, invoicing, examinations, and the delivery of classes and performances.

19. Changes to These Terms

LWTS may update these Terms & Conditions from time to time.

Parents will be given reasonable notice of any significant changes, and the latest version will always be available through the Parent Portal and on the LWTS website.

20. Acceptance

By completing registration through Class Manager and allowing a student to attend classes, parents/guardians confirm that they have read, understood, and agree to be bound by these Terms & Conditions and the LWTS Privacy & GDPR Policy.
